The word does a lot of work
"Turnkey" arrives in a sales pitch the same way "best-in-class" arrives — it's a softening word, designed to make the buyer feel like they don't need to worry. "You don't need to think about audio, video, lighting, content, or rigging — we'll handle it. Turnkey."
Then on show day, the LD asks: "Who's running comms? My belt pack doesn't have anyone on the other end." And the answer is — that's a separate scope. Comms was billed to the venue, but the venue's house comms is on a different frequency than your show comms, and now there are 30 minutes left and no one's done a sound check.
This is what turnkey looks like when it isn't. The word covered too much, so the scope covered too little.
What's actually in a real turnkey AV scope
A genuinely turnkey AV scope for a corporate event covers eight categories. If any of them are missing from your quote, the show will hit a gap on the day.
- Gear + crew — audio, lighting, LED video, projection, staging, rigging, power, with the engineers to run each system
- Content production — pre-show loops, walk-on / walk-off, lower thirds, sizzle reel, reveal content, post-show recap
- Show direction — show caller, run-of-show document, cue stack, talent coaching
- Comms backbone — Riedel or Clear-Com base station, IFB to talent, partyline to every department
- Broadcast (if hybrid) — multi-camera switching, redundant streaming, broadcast mix engineering, talent IFB
- Redundancy — backup mics, backup playback, backup power, backup uplink. Every critical system has a hot-standby.
- Rehearsals — speaker rehearsal, tech rehearsal, dress rehearsal — all run by the same crew that runs the show
- Day-of operations — load-in, dry tech, content QC on the wall, post-event load-out, content delivery to the client
That's the real scope. If your quote covers items 1, 2, and 8 only, you don't have a turnkey AV scope. You have an equipment rental with a couple of operators.
The hidden seams
The way vendor-stack scopes typically fail is at the seam between two crews who think the other one owns something.
Three seams to watch:
Seam 1 — Content and playback. Your agency produces the sizzle reel. The AV vendor runs the playback server. Who QCs the sizzle reel on the actual LED wall the night before show? If neither side does, you're going to find out the codec is wrong, the aspect is wrong, or the color grade looks different on the wall than on the agency's edit monitor. Show goes on with a content fix at 9am the morning of.
Seam 2 — Audio and broadcast. Your in-room audio crew tunes the K2 line array for the room. Your broadcast crew mixes for headphones. Who's running comms between the two booths? In a vendor-stack scope, no one. In a turnkey scope, the same FOH desk runs both mixes with one engineer with hands on both sides.
Seam 3 — Run-of-show and cue stack. Your event producer wrote the run-of-show. The AV crew built the cue stack. Who reconciles "the founder says 'and now I'd like to introduce'" with "video plays 2 seconds after that cue"? If neither side owns it, the cue is going to fire either too early (founder still mid-sentence) or too late (awkward silence). The reconciliation needs an owner.
A real turnkey scope makes those seams the same crew's responsibility. A "turnkey" pitch that splits them into separate vendors isn't turnkey.
The four words
If you're sitting across from an AV vendor and they say "we offer turnkey AV," ask them these four words: "What's not included?"
A real production studio will give you a fast list. "Venue rental, talent fees, municipal permits, hospitality, venue stagehand local — those are billed direct. Everything else is in our number."
A vendor that pitches "turnkey" but starts hedging when you ask what's not included is selling you category 1, 2, and 8 from the list above. Don't sign without writing in 3, 4, 5, 6, and 7.
What "all-in" should mean on your quote
Insist that the quote says "all-in" and that "all-in" is defined. A correct definition of "all-in":
Includes: gear rental, crew labor + per-diems, cartage + freight, comms / IFB / RF coordination, content production within the agreed scope, insurance, travel for crew if out-of-market.
Does not include: venue rental, venue stagehand local (those are venue-billed), talent fees, content production outside the agreed scope (e.g., if there's an external agency producing the sizzle reel), permits / fire watch / municipal fees, catering / hospitality.
That's a five-line definition. It should fit on one slide of the quote, not be buried in a contract footnote.
The scope difference between a vendor and a studio
A vendor sells equipment and operators. A studio sells outcome and ownership. Both can pitch "turnkey." Only one of them actually means it.
A vendor scope reads: "13 line array boxes, 1 FOH console, 1 audio engineer, 4 hours of show time." Operations.
A studio scope reads: "We engineer the audio system so the founder sounds like himself in row 12 and on a headphone-listening stream. The same engineer who tunes the room runs the show. The same engineer who runs the show takes the call if a fader fails. One audio answer, brief to strike." Outcome.
The studio scope costs more per line. It costs less on show day because the seams don't break.
The signs you've got a real turnkey production scope
- The named crew chief is in the contract. You know who's on the dock at 6am and who's at FOH at 7pm.
- The scope explicitly covers all eight categories. None of them are listed as "by client" or "TBD."
- The seams are addressed. Content QC, comms backbone, and run-of-show reconciliation are all owned by named people in the scope.
- The quote is "all-in" with a five-line definition. No "starting at." No "estimated."
- Redundancy is specified by system, not "as needed."
- The studio responds with a real BOM, not a fee schedule.
If your quote has all six, you have a real turnkey production scope. Sign it.
